Privacy Policy
1. WHO WE ARE
HAVEN creative space (“HAVEN,” “we,” or “us”) provides strategy, creative direction & production services along with an additional business branch called HAVEN Families, which provides family photography services. Both are operated by HAVEN creative space inc., located at 505-7080 rue Alexandra, Montreal, Quebec. This policy explains how we handle personal information through our website, inquiry forms, advertisements and professional services.
2. PRIVACY OFFICER
The person responsible for the protection of personal information is Liana Carbone. You can contact them at liana@havencreative.space with any questions, access or correction requests, or privacy complaints.
3. INFORMATION WE COLLECT
Depending on how you interact with us, we may collect your name, email address, telephone number, city, session preferences, messages and information necessary to book and provide services. For clients, this may include billing details, contracts and photographs, including images of children with appropriate authorization. Our website and advertising tools may also collect certain technical information (such as IP address, device, browser and interactions), depending on the technologies actually used and your privacy choices.
4. HOW WE COLLECT AND USE INFORMATION
We collect information when you submit a form on our website or a Meta (Facebook / Instagram) lead form, contact us, schedule a consultation or purchase services. We use it to respond to inquiries, schedule appointments, communicate by email, telephone or Messenger where the feature is used, prepare and provide sessions, deliver photographs, manage contracts and payments, and meet legal obligations. We do not use inquiry details for recurring promotional messages without valid consent or another lawful basis.
5. PHOTOS, VIDEOS AND IMAGERY OF CHILDREN
Photos, videos and graphic assets created as part of our services are used to fulfill our agreement, edit images and deliver private online galleries. Access to these online galleries is protected by a password given to authorized clients only. Publishing visuals on our website, on social media or in advertisements requires appropriate separate authorization, i.e. for HAVEN Families, a booking agreement signed directly on our website and for HAVEN creative space, one emailed to you at a later date. For children’s images, we seek authorization from a parent or person with parental authority, as applicable.
6. SERVICES PROVIDERS AND DISCLOSURES
We limit access to personal information to authorized staff and providers who need information to perform their functions. Depending on the services used, these providers may include Squarespace (website hosting), Acuity Scheduling (appointment booking), Stripe (payment processing), Meta (social media/advertising), Mailchimp (email communications), Pixieset (image delivery/print products), and Dropbox (file storage/sharing). Providers may process information on our behalf according to their roles and agreements. We do not sell personal information. Some providers may process information outside Quebec, including in the United States.
7. COOKIES AND CONSENT
Our website uses essential cookies to ensure proper functioning and to understand the visitors’ usage of the site. Where applicable, we may also use non-essential cookies for third-party analytics, such as Google Analytics.
You can configure your web browser’s settings to disable or delete non-essential website cookies at any time. Please note, however, that blocking all cookies may prevent certain website features from functioning properly.
By continuing to browse this site, you are consenting to the use of cookies in accordance with this policy.
8. RETENTION AND SECURITY
We retain personal information for as long as necessary to fulfill the purposes for which it was collected, meet our contractual obligations, and comply with applicable legal requirements.
Photo, video and graphic files are also retained according to their purpose, applicable agreements, client preferences and any relevant legal requirements. Certain files, including selected portfolio images for which we have the necessary authorization, may be retained indefinitely. Other files may be deleted when they are no longer needed.
We use reasonable safeguards suited to the sensitivity of the information, including restricted access, secure storage and protections provided by our service providers. No system is entirely risk-free.
9. YOUR RIGHTS
You may request access to or correction of your personal information and, where the law provides, deletion, portability or withdrawal of consent. You may also submit a complaint about our privacy practices. To do so, please contact liana@havencreative.space. We respond within applicable legal timeframes. Withdrawing consent may affect services where information is necessary to provide them.
10. UPDATES
We may update this policy as our practices or legal requirements change. We will post the revised version and provide notices when required.
